How do you run your club ?

OK - just a general question here, but one that's bound to get a variety of answers ...

How is your club run ?

OK - not that simple really ... I mean do you have a committee ? If so is everything left to them, or do other members get involved ? How many are on the committee ? Do you have committee meetings ? Are they open to anyone to attend or are they closed ? How involved in the running of the club are the majority of your members ? Or do most just come along, shoot and go home ?

Just curious .....

Grimsby Archers (and Grimsby Archers juniors)
Like most clubs I expect....
Committee of 4. Chair, Secretary, Treasurer and Records Officer plus 3 keyholders. Treasurer (Mrs Grimsby Archer) does just about everything, memberships, organising tournaments, running junior club. Hasnt ever shot an arrow in her life but knows more about archery than most.
Secretary (your truely) takes credit for everything and has bright ideas then leaves them to Mrs Grimsby Archer
Chairman does the speeches before and after tournaments.

We have a small but dedicated workparty who setup and takedown the range before and after shooting and for tournaments, but only cause they dont get to shoot otherwise.
We tried having open club meetings but (a) people disagreed with the treasurer, and we cant have that and (b) no one ever wanted to be involved.
We tried with a tournament committee but they couldnt organise a shoot in an empty field.
Everyone else "come along, shoot and go home"

Otherwise, we've got a pretty good club.
or maybe I'm just getting cynical

6 member committee (chair, secretary, treasurer, CPO, Records, Equipment). Committee strictly limited to club archers - learnt our lesson there. Formal meetings every 4-6 weeks. Meetings open to all but because of venue arrangements, lay members must inform comittee members of plan to attend. We do ask for any motions to be be presubmitted. All meetings are audio recorded and detailed minutes produced - both are available to all members.

We have 6 key holders and all shooting members are expected to help set up/put away kit. Nobody is exempt, even if all you can do is collect the face pins. This works very well and members rarely need to be reminded. Right from the day a member joins, this obligation is made clear to young and old alike.

I have no idea how my Real World club is run... there's an AGM tomorrow and I have no intention of going, I went to last year's one and dear god only Student Union meetings where the Socialist Workers are playing up are worse.

My Uni club has five Executive Committee members;
Captain,
Coach (and vice-captain),
Treasurer,
Secretary,
Social Sectretary.

They can then appoint non-executive committee postitions. We tend to have;
1st Year rep - supposedly someone newbies can go to, truely pointless
CPO - being a University club almost everyone is +18
Equipment Officer - should fix club equipment.

Actually, checking our webpage we don't have a CPO we now have a Webmaster and an Official Photographer.

There is supposed to be a meeting once a week (or fortnight) but tends to be as needed. If a general member has a query they can just ask someone at practice (or via email/facebook/etc).

We have an AGM in the Spring in which nominations for next year's committee is opened.

Once a month the Athletic Union holds a meeting in which at least two members from each sports club has to attend or get penalised. The penalty is a fine and loss of travel privilages. Miss more more and your risk getting disbanded and then having to ask at the next meeting to be reformed and hope that a majority of people present agree.

Just to follow on from LMP's comments.

Our club committee consists of about 8 members at this time.
Committee members are voted in every year by the membership and any member of the club can be selected for the committee if they have been a member for over two years.

Committee meetings are held in private but the meeting minutes are posted in our club house for viewing.

Any comments,idea's or issues can be passed onto a committee member for discussion but the club also holds a AGM which allows other issues to be discussed with the membership, such as the Treasurer report.

Thats about it really.

Its just a shame that committee members sometimes get a bit of stick from some members over certain issues when they dedicate a lot of there own time to the running of the club.

But try explaining that to "troblem some" individuals that beleive the club committee members are nothing but power welding tyrants.

Four people on our committee - there were five until our AGM on Sunday, when one co-opted member declined to stand. Treasurer, chairman, equipment officer and muggins here as secretary and CPO. We've never held a formal committee meeting - it's all on a nod-and-a-wink. But I've been looking into the methods of Robert Mugabe - he's got some pretty good ideas. At the AGM we voted in favour of monthly club meetings with the committee present, so members can raise concerns, propose ideas and receive information.

ULA is fairly small so it's more an idea to get all the experienced archers on the committee...but even then...

Secretery & Socials
Equipment Officer

The Secretery is the vaguest position, I think they're supposed to do all the applications etc and forward the BUSA emails to the Captain and do the GNAS cards. But then last year she did nowt...
Meetings are open to get the other members more involved. What usually happens is two committee members turn up to the 'meeting' then maybe a handful of members arrive later for a social.

Eastbourne Archers on the other hand is a very big club now...

Non-Committee reps:
Membership Secretary, Match Secretary, Junior Club Leader, Field Shoot Organizer, Child Protection Officer and Web Site Administrator. I've known the CPO and WSA to be non-members.

And to quote the club rules:

The democratic and financial management of the club shall be in the hands of an Elected Committee, which shall consist of a Chairperson, an Honorary Secretary, an Honorary Treasurer, an Equipment Officer, a Records Officer, a Junior Club Representative, a Publicity Officer an Events Officer and Newsletter Editor.
Only in exceptional circumstances is a member to hold more than one committee position. No person may serve more than five consecutive years in any one position. Four persons shall make a quorum at any formal committee meeting.
If I remember correctly the JCR is now a junior.
